Privacy Policy
Hire XA ("Hire XA", "we", "us", or "our") operates the recruitment platform available at hirexa.ai, operated by Vizara Technologies. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It also describes how we handle information accessed through Google APIs.
1. Who this policy is for
This policy applies to recruiters and team members who create an account or workspace on Hire XA, and to candidates who interact with an interview or application created on the platform.
2. Information we collect
- Account information. Your name, work email address, organisation details, and a securely hashed password (we never store passwords in plain text).
- Sign-in information. If you sign in with Google, Microsoft, or LinkedIn, we receive your basic profile and email address from that provider to create and authenticate your account. We do not receive your password.

Connected mailbox (optional). If you choose to
connect your own Google or Microsoft mailbox so that interview
and candidate emails are sent from your address, you grant a
send-only permission (Google
gmail.sendor MicrosoftMail.Send). We store the resulting OAuth token to send those emails on your behalf. - Recruitment data. Job postings, pipelines, candidate submissions, interview transcripts, feedback, and related content you create or upload while using the service.
- Technical data. Basic logs needed to operate and secure the service (for example request timestamps and error logs).
3. How we use information
- To create and secure your account and workspace.
- To provide the core hiring features (postings, pipelines, AI screening interviews, scheduling, and feedback).
- To send transactional emails (invitations, interview links, notifications), including from your connected mailbox when you enable that option.
- To operate, maintain, debug, and improve the service.
4. Google user data and Limited Use
When you connect a Google account for sending email, Hire XA requests
only the gmail.send scope. We use this scope solely to
send recruitment emails that you initiate from within Hire XA. We do
not read, download, store, or modify the contents of
your Gmail mailbox, and we do not use Google user data for
advertising.
5. How we share information
We do not sell your personal information. We share information only with service providers that help us run the platform (for example cloud hosting, email delivery, and the AI providers that power interview features), and only to the extent needed to provide the service. We may also disclose information if required by law.
6. Data retention
We retain account and recruitment data for as long as your account is active or as needed to provide the service. You can ask us to delete your account and associated data at any time (see Contact below). If you disconnect a mailbox, the stored OAuth token for that mailbox is removed.
7. Security
We protect your information using industry-standard measures including encryption in transit (HTTPS), hashed passwords, and access controls. No method of transmission or storage is completely secure, but we work to protect your data and limit access to it.
8. Your choices and rights
- You can revoke Hire XA's access to your Google account at any time at myaccount.google.com/permissions.
- You can disconnect a connected mailbox from your Hire XA settings.
- You can request access to, correction of, or deletion of your personal data by contacting us.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Significant changes will be communicated through the service where appropriate.
